New processes for engaging service providers effective July 1

We are excited to announce a more streamlined approach to engaging service providers, effective July 1, 2024.

What's Changing

  • No more contracts for limited-engagement services like catering, event space rental, performers, spa services, short workshops, graphic design (print only), writing, editing, and indexing can now be processed with a purchase order. Simply submit an I Want document to the Shared Services Center and attach the vendor quote or scope of work. We previously called these "specific contracts for one-time services."
  • New "right to use" (or intellectual property) and "work for hire" addenda for specific creative services. These addenda are required when engaging photographers, artists, illustrators, writers, editors, indexers, or videographers.
  • Domestic consulting agreement templates reduced from three to two. The independent consultant agreement is no longer used. The two templates used for U.S.-based work are the professional services and IT professional services agreements. The domestic amendment template, the executive search firm template, and the procedures remain unchanged.

Important Reminders

  • All required contracts and purchase orders must be completed before work can begin.
  • Procurement Services will continue to review, negotiate, and execute all consulting agreements and vendor contracts for services, including master service agreements and software licensing agreements.

These changes resulted from a collaboration between Procurement Services, the Shared Services Center Procure-to-Pay team, the University Tax Office, and the Office of General Counsel.
